Pricing Relationships for Starter Hut Integrated with POS

Part of the service you get with Club Prophet Systems Training and Installation is that we work with you to define your Tee Sheet products and configuration setup. Typically this is a one-time thing and you probably don't know what is going on between your Tee Sheet and your POS. Understanding the relationship between Class and Rate provides you with the flexibility to let your business decisions dictate how your software operates instead of the other way around.

Today's lesson will provide a framework for you to reference if and when you need it. Of course our Tech Support staff can always work with you to define this but understanding your options here may prompt some ideas for you to get more creative in your marketing efforts.

General Rules of Thumb:

1. You should always have more (or at least as many) classes than rates due to the ‘one to many' relationship from
    rate structure to class. In other words, many classes can be assigned to one rate, but only one rate can be assigned
    to any given class.
2. Rates can be configured by time, day of week, and defined holidays. Therefore, if necessary, utilize the flexibility in
    the rate structure for course fees as opposed to the tiered pricing in the POS. Use tiered pricing in the POS for
    merchandise items and date-sensitive sale items.

Specifics:

1. In POS, be as specific as you possibly can with your rates and fees. In other words, if you happen to have a
    Weekday Super Twilight that is only applicable on Mondays and Wednesdays after 5pm during certain months
    of the year, create a product to be sold. There is a great deal of reporting power to be gained by using this method.
    It also makes it easier to define the rates in the tee sheet, which makes it easy for the counter help and also provides
    more detail for the customer receipt.


 

2. In the tee sheet, define as many classes as necessary to differentiate between membership packages available for
    purchase (IE - Weekday Single, Weekday Family, Full 7-day Member, etc.) even though many of these classes may
    have the same rate structure day to day.


 

3. Each class should be assigned a default rate that will define all the tee sheet fees sent to the POS through the
    integration.

 

4. If a rate structure remains constant regardless of days of the week, times of day, etc, the rate setup is fairly simple.
    Select the items on the left (IE Cart 18) and then select the corresponding POS item code on the right.

 

5. If certain classes have a different rate structure based on the day of the week (very common), select the "Use days of
    week" option to define the rates for each item on the left for the different days of the week. Typically, this is redundant
    for certain days, so we provide a CLONE and PASTE function. This allows you to define Monday cart fees and then
    CLONE and PASTE them to Tues, Wed, Thur, etc.

6. If you wish to book members with "guests" frequently, be sure to define the rate structure that guests of members pay.
    Often times, it is different than the retail rack rate. Then assign that rate structure to the "Guest of" rate so it is
    automated in the tee sheet application.
